A chapter sponsored research conference can extend the reach and deepen the engagement of chapter members. The first step is to assign responsibility for the planning of the meeting. A small committee of 3-5 persons is ideal. This committee should represent the target audience for the conference, i.e., students, practicing nurses, and nurse educators.

Step two is to determine content of the event. Initial brainstorming must be done to determine the date, overall theme, speaker(s), and time frames for the speakers. Will you have only one speaker? Will you have a keynote and a variety of other speakers? Contact and lock in place, speakers, vendors and catering.  Step three is to determine the budget for the event. Tentative costs include rental of the venue, food, speaker fees and expenses, cost of materials. The cost of continuing education (CE) must be known.  Potential revenue must be determined. Students will appreciate a low or no cost conference if possible. A draft schedule and proposed budget must be approved by the chapter board.

Once the speaker lineup is confirmed, step four is planning for communication of the event. Multiple methods of getting the word out will achieve the desired result. Timing of communication is essential for busy schedules to plan attendance. Consider newspaper and TV coverage of the conference. Responsibility for registration must be determined.

Step five is to determine the members who will run and manage the event. Duties must be assigned for speaker coordination, registration, introductions, and information for the attendees. Relax and enjoy the day! Step six is a post-event meeting to evaluate the offering, what went well, what could be better.

Chapters should take on the challenge for planning and implementing a research conference to fulfill the Sigma Theta Tau mission of knowledge dissemination.
